Due to COVID 19, the government brought in legislation earlier this year (Corporate Governance and Insolvency Act 2020) to enable companies to hold their AGMs without breaching social distancing restrictions. This Act specifically authorises various new methods of conducting an AGM. In the case of Ilkley Lawn Tennis and Squash Club, the Board has decided to adopt one of these new methods, limiting the attendees the Board and Members Committee.
N.B. this provides the quorum for a general meeting of 15.
In order to ensure that members can fully participate in the AGM, the following timetable has been established to provide both the documentation for the event and the ability for members to vote and generate questions for the meeting:

26th October – Closing date for:
Resolutions relating to the Articles of Association
Nominations for the open positions of President, Honorary Treasurer, Chair of Fitness and three Member without Portfolio roles
26th October – Publish Chairman’s Report and Club Accounts for 2019/20 to members
27th October – Publish Proxy Voting Form to members with details of any Resolutions and Nominations to the Board and Members Committee positions detailed above that require a vote
16th November – Closing Date for Members to submit questions to the AGM (to be submitted by email to firstname.lastname@example.org)
22nd November – Closing Date for Members to submit Proxy Voting Forms (to be submitted by email to email@example.com)
23rd November – AGM available to be viewed online via Club’s website from 8pm
